QR codes help at every stage of an event: on the invitation to add it to calendars, at the venue for the schedule, map and Wi-Fi, and afterwards for slides, photos and feedback. Make the main code dynamic and one printed code can follow the whole event, switching to next year’s page when it’s over. QRfinity’s codes are free and never expire.

Which QR codes does an event need?

StageCodeWhat it opens
BeforeEventAdds the date, time and place to the phone’s calendar
BeforeDynamic linkThe event page: agenda, speakers, registration
At the venueLocationThe venue in Google Maps, with directions one tap away
At the venueWi-FiJoins the event network without typing
At the venueDynamic linkToday’s schedule, which you can update as sessions move
AfterDynamic linkSlides, recordings, photos or a feedback form

One code for before, during and after

Badges, banners and printed programmes are expensive to redo. A dynamic code holds a short link you control, so the same print can do three jobs:

  1. Before: point it at the registration and agenda page.
  2. During: point it at the live schedule when doors open.
  3. After: point it at the slides, photos or feedback form, and later at next year’s event.

Change the destination yourself from your dashboard at any time, or let a date limit do it for you at the moment the event ends.

For extras only attendees should see, such as recordings or a photo gallery, add a password to the code and share it from the stage. See password-protected QR codes.

Where to put codes, and how big

  • Badges and lanyards: 3 to 4 cm wide, on the front.
  • Banners and stage screens: about one tenth of the distance from the audience: 1 metre wide for a room where people sit 10 metres away.
  • Tables and programmes: at least 2 cm wide, with a clear margin.
  • Test at the venue. Lighting, glossy finishes and screens behave differently in a dark hall. Scan from the back row before doors open.

The print size guide has the full rule.

How many people scanned?

Every dynamic code shows total and unique scans, the hours people scanned, devices and countries. Use one code per placement, such as the badge, the banner and the programme, to see which ones people actually used. We don’t store anyone’s IP address.

What does it cost?

Static and dynamic codes, scan analytics and PNG and JPG downloads are free, and codes never expire. Date and scan limits, passwords and the other advanced features are free on one code; plans from $5 a month cover more codes and add print-ready SVG, PDF and EPS files. See pricing.

Questions people ask

Can a QR code add my event to someone’s calendar?

Yes. An event QR code holds the title, time and place, and phones offer to add it to the calendar when scanned. It’s a static code, so it works offline and never expires. Use it on invitations and posters.

Can the code point somewhere else after the event?

Yes, with a dynamic code. Change the destination yourself afterwards, or set a date limit so scans switch to the recap or next year’s page automatically at the time you choose.

Can QRfinity scan tickets or check people in?

No. QRfinity makes codes that open links, contact cards and similar content. For tickets and check-in, use your ticketing platform’s own codes, and use QRfinity for everything around them: schedules, maps, Wi-Fi and feedback.

How do I share event Wi-Fi with a QR code?

Make a Wi-Fi code with the network name and password and print it on badges, tables or the stage screen. Phones join without typing. It’s a static code, so it works without any service in between.

Can I limit a code to the first 100 people?

Yes. Set a scan limit on a dynamic code and, once it’s reached, scans go to a page you choose, such as “all gone, thanks”. Scan counts are checked every few minutes, so a few extra scans can get through.
